Sarum College is looking for a personable and enthusiastic Academic Administrator for Postgraduate and Spiritual Direction programmes who supports and enables the work of others through effective administration.
The successful candidate will be a team player, assisting the Director of Academic Development, and supporting our postgraduate students in the University of Winchester validated programmes as well as our students enrolled in the Centre for Spiritual Direction programmes.

About Sarum College
The College’s location in Salisbury Cathedral Close means that Sarum’s community of learning is infused by a strong sense of history, and it is an attractive place to work. The learning includes: Undergraduate and Postgraduate ministerial formation for lay and ordained ministries validated by the University of Durham Common Awards programme; Postgraduate (PGCert, PGDip, and MA) and PhD study validated by the University of Winchester; Spiritual Direction courses; and a lively and varied short course programme. We host visitors, national and international, staying for conferences or simply for B&B. An eclectic and interesting mix of people gather in the building including around meals, often sharing ideas and making new connections.
Formal education programmes at Sarum are delivered through residential, online and blended learning patterns, which combines online learning and tutoring through Zoom and residential teaching at College. The postgraduate Winchester programmes are blended with an intensive teaching week running for each module from a Mon-Thurs. Spiritual Direction has all three delivery patterns depending on the cohort. Each of the modes are effective and offer flexibility for our students, which relies on supportive communication, usually email and phone, and careful administration.
Our staff team works closely together, and we are looking for a colleague who will support the Postgraduate and Spiritual Direction teams and students in organisation and administration, bring fresh perspective and join in our desire to see every student grow and develop in their learning and growth.
The successful candidate will bring an eye for detail, particularly in adhering to academic regulations within the University of Winchester parameters and in keeping student records, but also in maintaining and implementing Sarum’s own educational policies. They will communicate with University of Winchester staff, with prospective and current students, and with a number of other stakeholders related to both the Postgraduate and Spiritual Direction programmes.
This is a varied and interesting role, being a representative of the College and working closely with colleagues.

Job Description
Job Title Postgraduate & Spiritual Direction Programmes Administrator
Line Manager Director of Academic Development
Salary £19,292 (4 days pro-rata based on an FTE salary of £24,115) plus a pension contribution of 8.5% of salary to the nominated pension scheme, currently the Church of England Church Workers Pension Fund (Pension Builder Classic), and lunch in the Refectory on working days in College, when available.
Hours The post is part-time at 28 hours per week, spread over four days. The post is comprised of 3.5 days (24.5 hours) per week as Postgraduate Administrator and 0.5 days (3.5 hours) per week as Administrator of the Course in Spiritual Direction.
Time off in lieu may be taken for working beyond normal working hours and there are occasions when it will be necessary to work outside normal working hours (during the evenings and at weekends) as the needs of the College reasonably requires.
Holiday The annual leave entitlement is 21.5 days (7 hours per day) plus a pro-rata proportion of statutory holidays (6.5 days), which includes days when the College is closed between Christmas Day and the New Year’s Day.
MA Administrator: 3.5 days per week
Job Purpose: The purpose of the post is to ensure the smooth administration of the Sarum MA programmes validated by the University of Winchester.
Principal accountabilities
Student Support and Educational Administration
• To deal with the daily incoming mail and telephone calls, maintain an accurate diary and deal with queries from postgraduate students enrolled in University of Winchester programmes.
• To arrange for the access of module documents needed by postgraduate students as agreed with module convenors.
• To enable and support postgraduate student access and use of the SarumLearn (Moodle VLE).
• To liaise with students and Hospitality regarding student attendance, residential booking and invoicing for postgraduate teaching weeks.
• To play an integral role in the administration of student fees in collaboration with Finance Department and other colleagues.
• To make necessary arrangements for visiting tutors: tutor contracts, residential booking and payment of expenses and fees.
• To administer the postgraduate assessment process.
• To liaise with University of Winchester on matters of registry, quality assurance, and administrative logistics.
Student Recruitment
• To ensure that every enquiry by prospective MA students is met with a prompt, courteous and informed response.
• To log enquiries and postgraduate study applications, disseminate applications to Programme Leaders and administer offer letters.
• To help organise (with Marketing Department) and attend the annual Taster Day in May (Saturday) for prospective students.
• To liaise with colleagues (academic and marketing) in ensuring that details of the postgraduate programmes on the Sarum website is kept updated.
Sarum-University of Winchester Administration
• To keep up to date and accurate records of student progress.
• To take minutes for the Programme Management and Collaborative Partnership meetings.
• To provide documentation requested by the University of Winchester.
• To share in duties related to preparing for the annual Academic Awards Ceremony in March (Saturday).
• To prepare for the Progression and Awards Exam Board in liaison with University colleagues.
General Administration Tasks
• To support the Director of Academic Development in designated tasks related to academic administration.
• To work with administrative colleagues in maintaining a uniform and reliable level of administrative service to the whole student body at Sarum College.
• To carry out such other duties as the College may from time to time reasonably require.
Administrator: Course in Spiritual Direction – 0.5 days per week
